PRIVACY POLICY AND NOTICE

This Policy and Notice applies to “Personally identifiable Information” (as defined by Cal. Bus. & Prof. Code Section 22577 ) collected, processed, or stored by Pacific Scribes (“we”, “us, “our”). Your access to and use of our services means you agree to the terms in this Policy and Notice and our Terms of Use.

WHAT WE COLLECT

When you join as a member of Pacific Scribes or register for one of our services, you voluntarily provide us with one or more of the following personally identifiable information (“information”) categories through our online form (via google docs) or mail-in printable PDF form:

  • First and last name;
  • Additional family member names for family memberships
  • Home and/or business address
  • Telephone numbers
  • Email addresses
  • Website URL and/social media address
  • Month and day of birth

We will also receive your name and email address from transactions you make on our website (“Site) using PayPal or other payment method offered on our Site. We will also receive the name and email address of the PayPal account owner who may or may not be you. PayPal’s Privacy Statement may be found at https://www.paypal.com/webapps/mpp/ua/privacy-full

We receive your email address and name when you request to be added to our email notifications of events, workshops, and classes.

WHAT WE DO NOT COLLECT

We do not collect your gender, year of birth, language, IP address, transaction information, purchase history, browsing history, search history, online activity, or geolocation

We acknowledge the particular importance of protecting the privacy of children. We do not knowingly collect information from children under the age of 13 except the names of those children that are part of a family membership registered by and with a parent or guardian. If a child under age 13 has separately provided their information to us online, we ask that a parent or guarding contact us immediately at info@pacificscribes.org to delete the child’s information

SHARING YOUR INFORMATION

We do not share any of your information with third parties except for trusted service providers such as email services and information processors with their own confidentiality and security measures and privacy policies. We collect your information for the purposes of mailing and/or emailing you notices or printed materials such as our newsletter, membership directory, announcements of events and workshops, classes, reminders, confirmations, queries, surveys, requests, and other communications regarding your membership in our organization. You may opt-out of email notices by contacting info@pacificscribs.org. We publish your information in a membership directory. You will be given at the time you give us your personal information to have any or all of your information withheld from the Directory by indicating so on our online or PDF membership form. Our membership may be posted on our website in a login and password protected area accessible to members only.

We may share your information with our service providers, such as instructors or teachers, pursuant to a written contract or through a specific and limited request from them.

Your information may be disclosed by us in the event we are legally obligated to do so pursuant to Subpoena, court order, law enforcement requirement, or other government regulation. We may also disclose your information to investigate or prevent suspected fraud, illegal activity, or violation of our policies.

CHANGES TO YOUR INFORMATION

You have a right to request us to correct or update your information. You may notify us of these changes by completing the online membership form, mailing in the printable PDF form, or contacting our Membership Chair at PSmailadmin@pacificscribes.org. You may ask to review your information by contacting our Membership Chair. Requests for corrections, changes, or updates may also be mailed to us at the contact information below.

CHANGES TO OUR POLICY AND NOTICE

When we make a material change to our Privacy Policy and Notice, we will notify you by email and provide a link to the website page containing the Policy and Notice.

WEBSITE ACTIVITY TRACKING

We do not recognize and process Do Not Track signals from different web browsers nor do we give permission to other parties to collect information about your online activities over time and across different websites when you use our Site.

RETENTION OF INFORMATION AND PRIVACY RIGHTS

We retain your information for as long as necessary for the purposes set forth above in this Notice, unless by law, we are required to retain it longer. In most instances, we will not retain your information longer than 12 months after your membership has expired or been terminated.

You can ask to have your information deleted and we will do so unless prohibited by legal obligation. To request deletion of your information at any time, contact PSmailadmin@pacificscribes.org. We will not discriminate against you for exercising your privacy rights.

If you request to have your information deleted, we will need to verify your identity by matching certain data we have on file with your information. We will ask only for information you have previously provided to us.

SAFETY MEASURES

We do not store your information on computer servers used for our Site except in the membership directory on the members only page. Given the nature of email and the internet, we cannot guarantee 100% security of your information from unauthorized access, hackers, bots, or criminal activity. Site visitors have no ability to send or receive email through our Site.

CALIFORNIA RESIDENTS

Pursuant to Cal. Civ. Code Section 1798.33, as a California resident, you may obtain free from us, twice within a 12 month period, information on categories of personal information (if any) we disclosed to third parties for direct marketing purposes. We will provide the requested information either by email or U.S. mail. A California resident may request this information by writing to us at the contact information below.

We have not disclosed your information to third parties for marketing or commercial purposes in the past 12 months. We will not sell your information in the future.

If you a member of Pacific Scribes under the age of 18 and reside in California, you have the right to request the removal of any publically viewable data about you on our Site. To request such removal, write to us at the contact information below.

EU AND UK PRIVACY RIGHTS

If you live in the European Economic Area or the United Kingdom, you may review, change or terminate your membership with us at any time. You may obtain a copy of your information, to request deletion or correction. You may restrict processing of your information or its portability. To make any requests, you may use the contact information below.

If you are a resident of the EEA or UK and believe we have unlawfully processed your information, you have the right to register a complaint with your local data supervisory protection authority.
